How to Book an Appointment

Book it clean, confirm it out loud, hand your closer a prepared lead.

    When the lead says yes, book it on the spot — don't paste a link and hope. Book from whatever screen you're on (Conversations, Contact card, or Opportunity card in GHL).

    Use your closer's booking link, not your own. Pick a time on your closer's calendar that actually works for the prospect. Sooner is better — same day is best.

    Choose the soonest time that works for the prospect and closer.

    Confirm the show before booking.

    Set the stage for the demo: ~40-minute Zoom; computer preferred, in a quiet/professional environment, with a pen and paper.

    Confirm out loud:"You're locked in for [day] at [time], the Zoom link is in your email, you'll get a reminder before. Talk then."

    After booking, create a separate internal Google Calendar event on your closer's calendar, next to the prospect appointment.

    Put your Senior Data notes (next section) inside that separate internal calendar event — not inside the prospect-facing event, which the prospect may be able to see.

    Stay in text with the lead all the way to the Zoom to confirm the show.

    Test your closer's booking link before using it: book a fake appointment, confirm the Zoom link generates, then cancel it.

  • Past failures — what they tried, why it didn't work.
  • Decision-maker status — can they decide today, or is a spouse involved?
  • Money comfort — payment method, credit score, card limits.
  • Urgency level — their 1–10.

Working the CRM

  • Call or text leads from inside the CRM using the team line labeled "7FCC All Team" (for outbound calls and SMS), or from your personal phone. Either works — just stay consistent.
  • Always take notes in the CRM after every touch. No mental notes. If it's not written down, it didn't happen.
  • Every real lead lives in a pipeline stage. No floating contacts. Move cards in real time — booked, no-showed, follow-up, won, lost.
  • Work your board top to bottom every day. Who has a call today, who needs a follow-up, who went quiet.
  • Never quote a price. The closer handles pricing — defer to them.

Requesting New Leads — the requirements

Lead flow is earned by performance — produce and you get more. Before requesting more:

    All current leads must be moved into the 3x–5x called columns — nothing sitting untouched.

    Show proof of work to Gage to get approved for the next batch.

Stay in Sync

Staying in Sync With Your Closer

Non-negotiable
  • You set your own schedule — one hour or ten, two days or six. The one rule you can't break: your closer always knows your availability.
  • If you're sick, traveling, or your week is light, that's fine — tell your closer, immediately. Going dark on your closer is the fastest way to lose the seat.
  • You're the front desk. Diagnose and book, then hand a prepared lead to the closer. You don't close the set.

Communication

Slack: Who to Go to for What

Right channel, right person. Wrong channel gets you silence.

  • Account / ops stuff — CRM access, company email not working → the Executive Assistant, via the support ticket channel. Don't text the founder about a broken email — wrong channel gets you silence.
  • Questions and inquiries → the support ticket channel.
  • Training / roleplay help → post in the relevant public channel, give context (what you're working on, what you already tried), and tag ONE relevant person. Don't tag @everyone or all of leadership.
  • Day-to-day team comms, announcements, wins → the public team channels. The public channels are the ones available to the team.

How to use your production sheet

    Open your assigned production sheet — everyone gets one created under their name in the master file (link in Quick Access).
  2. 2
    Each day, open the current month tab and log your numbers on that day's row, plus a Notes entry for any deal detail.
  3. 3
    The sheet auto-rolls your daily totals into Monthly Targets, Remaining, Days Left, and Run-Rate so you always know your pace.

    Update it at the end of every working day before you log off.

Why do we record calls?
We use the audio and transcript to review your calls, build scorecards, spot where leads drop off, and coach you faster. The more clean calls we have, the better we can help you improve.
How do I set up Fireflies?
  1. Download Fireflies and log in on both your computer and phone, using your @7figureclosingclub.com email so you can be added to our Fireflies team.
  2. Calling from your phone? Start the recording from the Fireflies desktop app (quick guide).
  3. Put the call on speaker so your computer clearly picks up both you and the prospect.
  4. Calling through the CRM/LeadConnector app (Go High Level's mobile app — same login as the CRM)? Same process: call from the app on speaker, record through Fireflies on your desktop.
  5. Do one 30-second test call first, then check Fireflies to confirm the audio and transcript came through clearly.
My audio or transcript isn't coming through — what do I check?
Usually a Zoom audio conflict. If you're in the Zoom boiler room while calling, Fireflies may capture the room audio instead of your call, or mix both. Fix it by leaving computer audio while staying in the room:
  • Stay inside the Zoom meeting.
  • By the mute button (bottom left), click the small arrow next to the mic.
  • Click "Leave Computer Audio." You're still in the room, but the button now reads "Join Audio."

Note: muting is NOT the same as leaving computer audio. Mute only turns your mic off; leaving computer audio fully disconnects Zoom from your audio so Fireflies can pick up the actual call.
